Rules worth knowing
- Poland’s national e-invoice system (KSeF) is mandatory for domestic invoices: since 1 February 2026 for companies with 2024 sales above PLN 200 million, and since 1 April 2026 for everyone else. A PDF is not a legal invoice there, so use this tool for foreign clients, private customers, quotes and proformas.
- Until the end of 2026, a taxpayer whose invoiced sales do not exceed PLN 10,000 gross a month does not have to issue through KSeF. Every business must be able to receive invoices in KSeF since 1 February 2026.
- KSeF is not required for invoices to private individuals, and not for intra-EU supplies when the buyer gives an EU VAT number from another member state.
- The VAT exemption limit is PLN 240,000 of sales a year (from 1 January 2026, up from PLN 200,000). The exemption ends from the sale that takes you over the limit.
- Selling services to a VAT-registered business in another EU country? Pick the reverse-charge setup: it charges 0% and prints the required wording. Show your client’s VAT number as well as your own.
